Account Provisioning & Termination
This article explains the process for setting up new employee accounts and deactivating accounts for departing staff at Redlands Christian Schools.
New Employee Account Setup
When a new staff member is hired, IT provisions the following accounts:
- Microsoft 365 email and Office apps
- Network login (Wi-Fi and shared drives)
- FACTS SIS access (if applicable to role)
- Printer access
- Phone extension (Intermedia)
- Any role-specific software (GoGuardian, Securly admin, etc.)
What HR/Admin Needs to Provide
To set up a new account, please submit a help desk ticket with:
- Full legal name and preferred display name
- Job title and department/campus
- Start date
- Supervisor name
- Which systems they need access to
- Whether they need a computer, phone, or other hardware
Please submit requests at least 3 business days before the start date to ensure everything is ready on day one.
Account Termination / Departing Staff
When a staff member leaves Redlands Christian Schools, IT needs to:
- Disable their Microsoft 365 account and email
- Revoke access to FACTS SIS, GoGuardian, Securly, and all other systems
- Remove network and Wi-Fi access
- Reassign or archive their email and files as directed by administration
- Collect any school-owned hardware (laptop, phone, keys, etc.)
What HR/Admin Needs to Provide
Submit a help desk ticket with:
- Employee name
- Last working day
- Whether email forwarding is needed (and to whom)
- Whether any files or shared drives need to be transferred
- Hardware to be collected
Please submit termination requests as soon as possible — ideally before or on the employee's last day for security purposes.
Temporary / Volunteer Accounts
For substitutes, volunteers, or temporary workers who need limited access, submit a ticket specifying:
- Duration of access needed
- Which systems they require
- Sponsoring staff member
Temporary accounts are automatically reviewed and disabled at the end of the specified period.
