Raise your hand if you've ever emailed yourself a document because it was 'just faster.' Same. Here's why IT cares - and what to do instead. Every week, IT sees a version of the same ticket: 'I can't open the file you sent me.' The attachment was a .docx from 2024, the recipient doesn't have the right version of Word, and now there's a 20-email thread. Google Drive solves this entirely - but only if you use it the way it's designed. Here's the move: instead of downloading and attaching, open the file in Google Drive, click 'Share,' copy the link, and set the access level before you send. 'Viewer' is your default - people can read but not change anything. 'Commenter' works great for feedback rounds. 'Editor' is for actual collaborators, not the whole staff list. And 'Restricted' means only the specific people you add can open it, which is right for anything sensitive. The magic is that everyone always sees the current version. No more 'which draft are you looking at?' No more emailing a file that's already out of date. One link, always live, always current.

144 out of 207 Windows and Chromebook devices are now synced into Zendesk's IT asset management system - zero sync errors. This means when a teacher submits a ticket, IT can see the device's serial number, OS version, and model right inside the ticket without logging into a separate portal. Faster context, fewer steps, same IT crew. The sync runs automatically every day, so the data stays current without anyone having to touch it.

Next time you're about to email a file as an attachment, try this instead: open it in Google Drive, click Share, choose Copy Link, and set the access to Viewer before you send. Your recipient gets the always-current version - no attachment needed, no 'wrong version of Word' problems, and no inbox clutter. Takes 10 extra seconds. Saves 10 minutes of back-and-forth.
