The Toshiba MFP copiers on campus can scan documents and send them directly to your email or a shared folder. This guide walks through using the scan-to-email function.
What You'll Need
- Your RCS email address (yourname@redlandschristian.org)
- Access to one of the campus Toshiba MFP copiers
How to Scan to Email
- Place your document on the glass platen (face down, top-left corner) or load it face-up in the ADF (document feeder) at the top of the machine.
- On the copier's touchscreen, tap Scan (or E-mail depending on the model).
- Tap To: and enter your email address using the on-screen keyboard, or search the address book for your name.
- Set your scan options:
- Color mode: Full Color, Grayscale, or Black & White
- Resolution: 200 dpi for standard documents, 300+ dpi for detailed images
- File format: PDF (recommended for most uses) or JPEG
- Press the green Start button.
- The scan will be emailed to you within a few minutes. Check your inbox (and spam folder if it doesn't arrive).
Scanning Multiple Pages into One PDF
- Use the ADF for multi-page documents — load all pages face-up and the machine will scan them in order.
- If scanning from the glass, look for a "Continue Scanning" or "Add Page" option on screen after each page.
- When done, select Finish to combine all pages into one PDF.
Scan to Shared Folder (SMB)
Some copiers are configured to scan to a shared network folder in addition to email. If you need this set up for your department, contact IT to configure the destination path.
Common Issues
| Problem | Fix |
|---|---|
| Scan didn't arrive in email | Check spam/junk folder; confirm you entered the correct email address |
| Scan is blurry or hard to read | Increase the resolution to 300 dpi; clean the glass with a dry cloth |
| ADF jammed during scan | Open the ADF cover, remove the document, and reload |
| "Cannot send" error | The copier may have lost network connection — restart and try again, or contact IT |
